Understanding automation job statuses

Understanding Automation Job Statuses Each automation job in Datadrew goes through a series of statuses as it executes. Understanding these statuses helps you monitor your automations and troubleshoot any issues. Job Status Reference | | | | | --- | --- | --- | | Status | Meaning | What to Do | | Pending | The job is created and waiting to run. For scheduled jobs, it is waiting for the next scheduled time. | No action needed. The job will run automatically. | | Running | The job is currently executing. This may take a few minutes depending on the amount of data being processed. | Wait for the job to complete. Do not submit a duplicate job. | | Finished | The job completed successfully. For reports, this means the email or Slack message was sent. For Klaviyo syncs, the data has been submitted to Klaviyo. | No action needed. Check your inbox, Slack channel, or Klaviyo for results. | | Failure | The job encountered an error and could not complete. | Check the error message for details. Common causes include disconnected integrations, expired API keys, or data unavailability. | Retry Logic When a job fails, Datadrew tracks the number of retries. Key behaviors: - Each time a job runs (including retries), the retry count increments. - Non-scheduled (on-demand) jobs have a maximum retry limit. Once the limit is reached, the job is marked as a permanent failure. - Scheduled jobs reset on their next scheduled run. A failure on one week does not prevent the job from running the following week. Common Failure Reasons - Slack not connected -- Your Slack integration was disconnected or the webhook URL is no longer valid. Reconnect Slack in Settings. - Slack weekly report not enabled -- The report toggle was turned off in Settings. Re-enable it to resume. - Shop not found or inactive -- Your Shopify store connection may have lapsed. Reinstall the Datadrew app from the Shopify App Store. - Klaviyo API Key not found -- Your Klaviyo integration was disconnected. Reconnect Klaviyo in Integrations. - Data missing for shop -- Your store's analytics data has not finished processing. Wait for the next data sync and try again. Checking Job Status You can view the status of your automation jobs in the Settings page. Each automation section shows the last run status and the next scheduled run time. If a job has failed, the error reason is displayed to help you diagnose the issue. Need help? Managing and Editing Scheduled Automations Datadrew lets you set up scheduled automations for reports and data syncs that run on a recurring basis. This article explains how to view, manage, and edit your active automations. Viewing Your Automations 1. Navigate to Settings in the Datadrew sidebar. 2. Your active automations appear under the relevant sections: Email Weekly Report, Slack Weekly Report, and any Klaviyo sync jobs. You can also see the status of your automation jobs, including when they last ran and when the next run is scheduled. Types of Automations | | | | | --- | --- | --- | | Automation Type | Description | Default Schedule | | Email Weekly Report | Sends a performance summary email | Every Monday at 9:00 AM | | Slack Weekly Report | Posts a performance summary to Slack | Every Monday at 9:00 AM | | Klaviyo RFM Tagging | One-time sync of RFM segments to Klaviyo | On demand | | Klaviyo Weekly Sync | Recurring sync of all RFM segments to Klaviyo | Every Monday at 9:00 AM | Enabling or Disabling an Automation 1. Go to Settings. 2. Find the toggle for the report type you want to change (Email or Slack weekly report). 3. Switch the toggle On or Off. 4. Click Save. When you disable an automation, the underlying scheduled job is paused but not deleted. You can re-enable it at any time and it will resume on the next scheduled run. Schedule Details All scheduled automations use a weekly cron schedule. The default is Monday at 9:00 AM in your store's local timezone (based on your Shopify store timezone setting). The system automatically calculates the next run time after each execution. Running an Automation Manually Klaviyo RFM Tagging jobs can be triggered on demand from the RFM Segments dashboard. Automating RFM segment sync to Klaviyo

Automating RFM Segment Sync to Klaviyo Datadrew can automatically sync your RFM (Recency, Frequency, Monetary) customer segments to Klaviyo, enabling you to build targeted email campaigns based on real-time customer behavior data. What Is RFM Segment Sync? RFM segmentation classifies your customers into groups such as Champions, Loyal Customers, At Risk, and Lost based on their purchase behavior. When you sync these segments to Klaviyo, each customer profile in Klaviyo is tagged with their current RFM segment, letting you create highly targeted flows and campaigns. Prerequisites - An active Klaviyo integration connected in Datadrew (requires your Klaviyo API key). - RFM segmentation data must be available for your store (requires an Essentials or Pro plan). Setting Up the Sync 1. Navigate to Integrations in the Datadrew sidebar. 2. Ensure your Klaviyo integration is connected. If not, click Connect Klaviyo and enter your Klaviyo private API key. 3. Go to the Customer > RFM Segments dashboard. 4. Select the RFM segment you want to sync (or choose All to sync all segments). 5. Click Sync to Klaviyo. Datadrew will create an automation job that tags the selected customers in Klaviyo with their RFM segment. This is a one-time sync that you can run on demand. Enabling Weekly Automatic Sync For ongoing automation, Datadrew can create a weekly sync job that keeps your Klaviyo tags up to date: 1. When you connect Klaviyo, Datadrew automatically creates a Klaviyo Weekly Sync scheduled job. 2. This job runs every Monday at 9:00 AM in your store's timezone. 3. It syncs all RFM segments to Klaviyo, ensuring customer tags stay current as purchase behavior evolves. What Happens in Klaviyo After a sync completes, customer profiles in Klaviyo receive custom properties with their RFM segment tag. You can then use these properties in Klaviyo to create targeted segments, flows, and campaigns. It may take a few minutes for changes to reflect in Klaviyo after the sync completes. Disconnecting Klaviyo If you disconnect your Klaviyo integration in Datadrew, all Klaviyo-related automation jobs (both one-time RFM tagging and weekly sync) are automatically disabled. Setting Up Weekly Slack Reports Get your store's performance summary delivered directly to a Slack channel every week. Datadrew's Slack integration sends a beautifully formatted report with key metrics and week-over-week comparisons. Prerequisites - You must have a Slack workspace where you have permission to install apps. - You need to be an Owner or Admin in your Datadrew workspace. Step 1: Connect Slack to Datadrew 1. Navigate to Settings in the Datadrew sidebar. 2. Find the Slack Integration section. 3. Click Connect Slack. You will be redirected to Slack's authorization page. 4. Select the Slack workspace and channel where you want reports delivered. 5. Click Allow to grant Datadrew permission to post to that channel via an incoming webhook. Step 2: Enable Weekly Slack Reports 1. After connecting Slack, return to Settings. 2. Find the Slack Weekly Report toggle and switch it to On. 3. Click Save. Datadrew will now send a weekly performance report every Monday at 9:00 AM in your store's timezone to the selected Slack channel. What's in the Slack Report The Slack report is organized into clear sections with visual indicators: - Shopify Metrics -- Revenue, New Customers, Total Customers, Orders, and AOV - Blended Ad Metrics -- Spend, ROAS, and CAC - Meta Ads -- Spend, Conversion Value, ROAS, CPC, and Click-to-Order Rate - Google Ads -- Spend, ROAS, Conversion Value, CPC, and Click-to-Order Rate - Google Analytics -- Sessions, Users, Add to Cart, Conversions, and Conversion Rate Each metric shows the current period value with a green or red indicator showing whether the metric moved in the desired direction compared to the prior period. Disconnecting Slack To stop Slack reports, toggle the Slack Weekly Report off in Settings. To fully disconnect Slack, use the disconnect option in the Slack Integration section. Datadrew's weekly email reports deliver a comprehensive summary of your key metrics straight to your inbox every Monday morning. What's Included in Your Weekly Report Each weekly email report covers metrics from the past week compared to the prior period, including: - Shopify Metrics -- Revenue, New Customers, Total Customers, Total Orders, and AOV - Blended Ad Metrics -- Ad Spend, ROAS, and CAC across all platforms - Meta Ads -- Ad Spend, Conversion Value, ROAS, CPC, and Click-to-Order Rate - Google Ads -- Ad Spend, ROAS, Conversion Value, CPC, and Click-to-Order Rate - Google Analytics (GA4) -- Sessions, Users, Add to Cart, Conversions, and Conversion Rate Each metric shows the current value along with the percentage change (up or down) compared to the previous period, so you can spot trends at a glance. How to Enable Weekly Email Reports 1. Open the Datadrew app and navigate to Settings from the sidebar. 2. Find the Email Weekly Report section. 3. Toggle the switch to On. 4. Click Save to confirm your changes. Once enabled, Datadrew creates a scheduled automation job that sends your report every Monday at 9:00 AM in your store's local timezone. Who Receives the Report? The weekly email report is sent to the email addresses configured in your store's report settings. Workspace owners and admins can manage email recipients from the Settings page. Disabling Email Reports To stop receiving weekly emails, simply toggle the Email Weekly Report switch to Off in your Settings page and save.
